Terms & Conditions

1. BOOKINGS & PAYMENTS

1.1 All classes must be booked in advance via the official The Groove Haus booking system.

1.2 Payment is required at the time of booking.

1.3 Class spaces are limited and allocated on a first-come, first-served basis.

1.4 The Groove Haus reserves the right to cancel, reschedule, or substitute instructors where necessary. In such cases, a class credit will be returned to your account.

1.5 Prices, class schedules, instructors, and services are subject to change without notice.

2. CANCELLATION & ATTENDANCE POLICY

2.1 Cancellation Window
Cancellations must be made at least 12 hours prior to the scheduled class start time.

Cancellations made more than 12 hours before the class start time will return the class credit to your account.

Cancellations made within 12 hours of the class start time will be treated as a late cancellation and the class credit will be forfeited.


2.2 No-Shows
Failure to attend a booked class without cancelling will result in the loss of the class credit.

For Reformer classes, failure to attend a booked class without cancelling will also incur a £10 no-show fee, due to the limited number of reformer spaces available. This applies to all clients, including class pack holders, drop-ins, and members.

The Groove Haus reserves the right to monitor repeated late cancellations or no-shows and may impose temporary booking restrictions on accounts where necessary.

No-show fees may be automatically charged to the payment method held on file.

3. MEMBERSHIPS

3.1 Memberships are billed automatically on a recurring monthly basis.

3.2 A minimum commitment period of 3 months applies unless otherwise stated at the time of purchase.

3.3 After the minimum commitment period, memberships will continue on a rolling monthly basis.

3.4 Memberships may be cancelled after the minimum commitment period provided cancellation is requested before the next billing date. Requests made after billing has been processed will take effect from the following billing cycle.

3.5 Unused classes within a membership do not roll over unless explicitly stated in the membership description.

3.6 Memberships are non-transferable and non-refundable.

3.7 Failed or missed payments may result in suspension of booking privileges until payment is resolved.

3.8 The Groove Haus reserves the right to terminate memberships in the event of misuse or breach of these Terms & Conditions.

4. CLASS PACKS & INTRODUCTORY OFFERS

4.1 Class packs are non-refundable and non-transferable.

4.2 Class packs are valid for a fixed duration from the date of purchase:

* Single Drop-In – Valid 14 days
* 5 Class Pack – Valid 6 weeks
* 10 Class Pack – Valid 3 months

4.3 Expired classes cannot be reinstated.

4.4 Introductory offers are limited to one per person and are non-refundable.

5. BOOKING WINDOWS

5.1 Membership holders may book classes up to 14 days in advance.

5.2 Class packs and single drop-ins may book classes up to 10 days in advance.

5.3 The Groove Haus reserves the right to adjust booking windows where necessary.

6. WAITLIST POLICY

6.1 If a class is fully booked, clients may choose to join the waitlist via the booking system.

6.2 If a space becomes available, clients on the waitlist will be notified by email.

6.3 Available spaces will be offered on a first-come, first-served basis.

6.4 Clients who wish to attend must book the available space via the booking system once notified.

6.5 The Groove Haus cannot guarantee a space for clients on the waitlist.

6.6 Clients are responsible for monitoring their email notifications and securing the booking should they wish to attend the class.

7. ARRIVAL POLICY

7.1 Clients must arrive at least 5 minutes before class start time.

7.2 First-time clients must arrive 10–15 minutes prior to class for equipment induction.

7.3 Clients arriving more than 5 minutes after class start time may not be permitted to enter for safety reasons and will be treated as a late cancellation.

7.4 Studio doors may be locked at class start time.

8. HEALTH & MEDICAL DECLARATION

8.1 All clients must complete a health waiver prior to attending their first class.

8.2 By attending classes at The Groove Haus, you confirm you are physically fit and capable of participating in exercise.

8.3 Clients who are pregnant, recently postnatal, injured, or under medical supervision should seek medical clearance before attending.

8.4 You agree to inform the instructor of any injuries, conditions, or limitations prior to class.

Participation in classes is undertaken at your own risk.

9. EQUIPMENT USE

9.1 Clients must follow all instructor guidance when using reformer equipment.

9.2 Improper use of equipment may result in removal from class for safety reasons.

10. LIABILITY

10.1 Exercise carries inherent risks.

10.2 By participating in classes, you voluntarily assume all risks associated with physical activity.

10.3 The Groove Haus and its instructors shall not be liable for injury, loss, or damage sustained during participation except where caused by proven negligence.

11. STUDIO RULES & ETIQUETTE

11.1 Grip socks are required for all reformer classes.

11.2 Outdoor shoes are not permitted in studio spaces.

11.3 Mobile phones must be kept on silent during class.

11.4 Respect for instructors, staff, and fellow clients is mandatory.

11.5 The Groove Haus reserves the right to refuse entry or remove any client behaving in a disruptive, unsafe, or inappropriate manner without refund.

12. PERSONAL BELONGINGS

The Groove Haus accepts no responsibility for loss, theft, or damage to personal belongings brought onto the premises.

13. PHOTOGRAPHY & MARKETING

13.1 Classes and events may occasionally be photographed or filmed for promotional purposes.

13.2 By attending, you consent to the use of such content unless you notify staff in advance.

13.3 Clients who do not wish to appear in marketing content must inform the studio prior to class commencement.

14. REFUNDS

14.1 All purchases are non-refundable.

14.2 No extensions will be granted on class packs or memberships except in exceptional circumstances at management discretion.

14.3 Unused classes cannot be exchanged for cash.

15. RIGHT TO REFUSE SERVICE

The Groove Haus reserves the right to refuse service or terminate memberships at its discretion where behaviour breaches studio policies or compromises the safety or experience of other clients.
